The revision and reprinting of the AVA Policy Manual have not been
completed and, therefore, it is not included with this issue of
CHECKPOINT. Our plan is to send it with the March issue. There are,
however, some very important items included in this issue -
We are receiving a significant number of delegate/proxy forms from the
clubs. These will not be verified and returned to the clubs until after
the May 14 review to determine which clubs are eligible to vote. Once that
review has been done, the forms will be processed and any club who is not
eligible to vote will be notified. Remember, May 14 is a one-day look for
voting eligibility. Actions taken after that date to satisfy financial or
reporting delinquencies will not restore voting eligibility.
Finally, remember that the cost of convention registration goes up after
April 10, 2001. Get your registrations in early and have more money to
enjoy the beautiful Northwest.

WHAT DID THAT POLICY SAY???
Did you know that you must publish an event brochure even if your event is
listed in a state publication? That's right. AVA Policy 4.01, II, E, 1
says "A club must prepare an event brochure and distributed it free of
charge. A club will produce an adequate number of brochures to distribute
outside the volkssporting community to properly advertise the event in the
local area. The publication of event information in State Organization
publications and other volkssporting publications either official or
unofficial, does not satisfy this requirement."
YRE/Seasonal Changes: Changes to Year Round/Seasonal events are handled the
same way as changes to regular events. You make the changes on a copy of
the Sanction Request, mark changes across the top and highlight the
changes. Until we have a standard format for submission via E-mail, we
will not accept them this way. Faxes are okay as long as they are on the
form not just a handwritten note and the changes are marked in someway.
PLEASE, you must use a copy of the original form. While you might not
realize the need for duplicated info, sometimes we need it to find the
correct event. When we get forms in that have "same as original" written
on every line except where the changes are, it is difficult to make sure
that we are updating the correct event. We have tried to accommodate clubs
by taking info however we got it but it has become a logistical
nightmare. While you are very familiar with
these events, we are not and we cannot make changes when the info says
things like "our event at the lake has changed the start days to:" Thank
you for your understanding and assistance.
2001 IVV Calendars are now in stock at headquarters. They are $8.00 plus
shipping. Please allow 30 days for an order to be filled. Thank you for
